This role involves supporting the Executive Director in various administrative tasks, ensuring smooth communication, and handling confidential matters with utmost discretion.

Responsibilities in Detail:

  1. Diary Management and Administration:
  • Your role includes managing the Executive Director’s schedule. This means understanding the importance of key meetings and providing flexibility in the diary.
  • Coordinating external visits, meetings, and speaking engagements will be part of your responsibilities. This involves making travel and accommodation arrangements, considering both budget and time constraints.
  • Prepare letters, reports, and other documents as needed.
  • Screen and direct incoming calls appropriately, maintaining professionalism at all times.
  1. Communication Skills:
  • Effective communication is key. You’ll be required to communicate clearly and professionally at all levels, both within the organization and with external stakeholders.
  • Handling inquiries and requests promptly is crucial, and you should know when to escalate issues.
  • Problem-solving is part of the role. Use your initiative to solve problems without unnecessary escalation.
  • Building and maintaining strong working relationships with key contacts is essential.
  • Your demeanor should always convey a professional image, and you’ll need to exercise tact and diplomacy in various situations.
