  • Answering the telephone and directing calls to the relevant person/department
  • Taking detailed messages if somebody is not available
  • Ensuring the office is tidy; blinds are open when the domestic worker is not in
  • Assisting walk-in clients and offering tea/coffee during meetings
  • Assisting with general queries/information
  • Coordinating courier requirements
  • Checking e-toll balance weekly and ensuring payments are made when the account is low
  • Signing for parcels
  • Managing office cleaning consumables and refreshments
  • Filing, copying, scanning
  • Updating forms with relevant information
  • Laminating contact sheets for all clients
  • Updating and maintaining inventory of office equipment for insurance purposes
  • Taking meeting minutes
  • Performing personal assistant tasks for the GM (calendar updates, meeting reminders, etc.)
  • Logging calls for offsite/content
  • Performing monthly recons for GM’s company credit card
  • Managing and maintaining petty cash
  • Handling weekly claims for GM’s expenses
  • Performing monthly fuel recons for all vehicles in the region
  • Changing alarm/access codes every second month or when necessary
  • Diverting calls to GM’s cell after 5 pm every afternoon
  • Ensuring proper signing out and in of company vehicles
  • Updating installation list/calendar as soon as PMs send through the request
  • Sending installation list/calendar monthly to GM – by the 28th of the month
  • Requesting quotes/ordering equipment from relevant suppliers for staff when needed/requested
  • Ordering stationery for all staff
  • Booking company vehicles for services and processing payment requisitions
  • Assisting with planning and coordination of the region’s social events
  • Assisting with stock control when necessary
  • Managing and maintaining a staff and visitor register
  • Handling Occupational Health and Safety (OHS) documentation for the region
  • Managing and maintaining a calendar for the boardroom
  • Sending a daily attendance report to HR
  • Assisting with HR requirements as needed
