As an Administration Assistant you would be responsible for the following:


  • To effectively manage and minimize HSE risk within area of responsibility by ensuring: Compliance with all HSE Policies, rules, guideline and legal requirements. Promotion of safe working environment and positively contributing to the company HSE KPIs and risk reduction strategies. That HSE competency requirements are identified & enforced within area of responsibility.


  • Control reception – ensure that all visitors have signed in, are alcohol tested and are announced by phone.
  • All sales documentation (delivery notes) to be checked for accuracy and compliance to policies.
  • All return trips to be checked and balanced to loaded volumes.
  • Capture delivery info on SSAM, split and file numerically.
  • Keep track to ensure all retained quantities are accounted for.
  • Check and control gains and losses on trip sheets.
  • Check and sign for all deliveries made to reception, e.g. Courier and stationery deliveries.
  • Keep serial control of all manual documents up to date.
  • Submit batches of documents for scanning to Metro file.
  • Attend to POD requests received by the Terminal
  • Export SAM for balancing purposes with transporters.
  • Assist with capturing as and when required
  • Perform any other duties as reasonably requested by Office Supervisor or Terminal Manager.
  • Ensure all administrative functions are maintained within Company parameters and according to policies and procedures.
  • Ordering and issuing of stationery and canteen items at minimal cost.
  • Controlling the stationery register for controlled documents.
  • Maintaining housekeeping standards.
  • Ensuring that non-conformances resulting from Administrative Audits are actioned.
  • Monthly submittal of the complaints register to Local authorities
  • Submit all completed P201’s to SARS and Turners Shipping for clearance
  • Principal champion or partner on One Maestro
  • Update all noticeboards with relevant information
  • Train new interns/leaners on your duties
  • Assist in the implementation of Process Safety Management (PSM) at the Terminal

Context & Environment

  • Industry EDI system is not interfaced with TL. However, the system is used for order and movement recording.
